Main Responsabilities

Payroll Processing:

  • Accurately process bi-weekly or semi-monthly payroll for employees across multiple states, with a significant concentration in California.
  • Ensure all payroll transactions are processed efficiently and in compliance with federal, state, and local laws.
  • Calculate and record payroll deductions, overtime, bonuses, and other earnings in accordance with company policies and applicable regulations.
  • Coordinate with HR and Finance teams to gather necessary payroll data, resolve discrepancies, and ensure timely submissions.
  • Audit payroll data for errors or inconsistencies and take corrective action as needed.
  • Prepare and distribute payroll reports and statements to relevant stakeholders.

Multi-State Compliance:

  • Stay up to date on payroll laws and regulations for all states in which employees are located, with expertise in California’s complex wage and hour rules, tax codes, and reporting requirements.
  • Maintain knowledge of city- and county-specific ordinances, such as local minimum wage laws or paid sick leave requirements.
  • Identify and implement updates to payroll system settings and practices as legislation changes.
  • Support audits by preparing documentation and responding to regulatory inquiries.

HR Support:

  • Assist with onboarding and offboarding processes, ensuring employee records are complete and accurate for payroll purposes.
  • Maintain confidential personnel and payroll files in compliance with data retention and privacy laws.
  • Respond to employee questions regarding compensation, benefits, payroll deductions, and time-off policies, providing clear and timely communication in both English and Spanish.
  • Collaborate with HR team members on broader initiatives, such as employee engagement, policy updates, and process improvement projects.

Systems and Reporting:

  • Utilize HRIS and payroll systems to enter, review, and extract data for analysis and reporting.
  • Generate regular and ad-hoc reports on payroll, headcount, turnover, and other HR metrics as requested by management.
  • Identify opportunities to streamline payroll processes and enhance data quality through system improvements and automation.

Bilingual Communication:

  • Translate HR and payroll materials, forms, and communications between English and Spanish as needed.
  • Provide verbal and written support to Spanish-speaking employees, ensuring their understanding of payroll processes, policies, and compliance requirements.
  • Facilitate training sessions and informational meetings in both languages to increase awareness and foster inclusivity.

Background:

  • Bachelor’s degree in human resources, Business Administration, Accounting, or related field
  • 3 years of experience in payroll processing, with extensive hands-on involvement in multi-state payroll, especially in California.
  • Communication Skills: Clear, professional, and empathetic communication in both English and Spanish.
