Your Mission:

 

We are looking for a highly organized, proactive, and professional Executive Assistant to support the CEO and selected Board members.

This hybrid role combines executive, administrative, and personal support responsibilities, ensuring smooth day-to-day operations in a demanding and high-exposure environment.

You will act as a trusted partner, enabling effective time management, coordination, and execution at the highest level of the organization.

 

 

Your Responsibilities:

 

Reporting directly to the CEO, your main responsibilities will include:

 

  • Executive & Board Support

 

  • Manage and optimize the CEO’s agenda, as well as provide coordination support to Board members.
  • Organize and coordinate meetings, including preparation of materials, minutes, and follow-ups.
  • Act as a liaison between the CEO, Board members, and internal/external stakeholders
  • Prepare presentations, reports, and executive documentation.

 

  • Agenda, Travel & Logistics Management

 

  • Manage complex calendars, ensuring efficient prioritization of commitments.
  • Coordinate business travel (flights, accommodation, itineraries) for the CEO and Board members.
  • Handle reservations (restaurants, transport, etc.) ensuring a seamless experience.

 

  • Administrative & Event Support

 

  • Coordinate meeting logistics: room bookings, scheduling, and setup.
  • Organize catering and provide support during meetings and corporate events.
  • Manage expense reports, invoicing, and general administrative tasks.
  • Support internal initiatives and special projects led by the CEO.

 

  • Personal Assistance

 

  • Provide support on selected personal matters of the CEO (agenda coordination, appointments, logistics, etc.)
  • Ensure smooth alignment between professional and personal priorities.

 

 

The Talent We Are Looking For:

 

  • +7 years minimum of experience as Executive Assistant or Senior Administrative Assistant supporting C-level executives.
  • Proven experience in high-demanding, fast-paced environments.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • High level of professionalism and ability to handle sensitive information.
  • Proactive mindset with strong anticipation and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work with autonomy and high ownership.
  • Advanced MS Office skills (Outlook, PowerPoint, Excel).
  • SAP valuable.
  • Fluent English (C1 or above) is required;
  • Flexible, adaptable, and service-oriented.
