 Your mission:

Support the Intellectual Property (IP) team in efficiently managing administrative tasks, contributing to the protection and management of the company's intellectual property assets. 

 

Your responsibilities:

  • SAP management: 
    • Capture invoices for the IP department.

    • Create purchase requisitions.

    • Arrange and send purchase orders to vendors.

    • Receive goods related to invoices (MIGO)

    • Monitor available funds/budget for each vendor purchase order and communicate with Cristina and Charl.

    • Provide remittance advices to vendors.

    • Follow up on outstanding payments with treasury.

    • Check vendor statements monthly to ensure all invoices are processed.

    • Resolve related questions and issues.

  • Vendor Correspondence:
    • Obtain bank confirmation letters.

    • Obtain tax clearance/residency certificates.

    • Send and receive completed RFI-21 Forms.

    • Send and receive completed supplier information forms.

    • Resolve related questions and issues.

  • MasterData:
    • Request creation of new vendors.

    • Extend existing vendors to other companies within the group.

    • Follow up on the creation and availability of vendors in SAP.

    • Resolve related questions and issues.

  • Bizagi:
    • Complete expense reports.

    • Request investment order numbers (or sub-investment order numbers) for various Rovensa Next companies' patent assets.

  • Office package: 
    • Keep record of incoming invoices, dates captured, dates of PRs, dates of POs, dates of MIGO, and payment dates.

    • Editing portfolio report data

    • Time keeping (specific with detail)

    • Competency in using Adobe including the Editing function to edit, sign, combine, and compact documents.

 

The Talent we are looking for:

  • Knowledge of SAP will be a plus

  • English is mandatory

  • General grasp of book keeping  and accounting skills and able to work with financial management software (preferably SAP)

  • Attention to detail

  • Good organizing skills and problem solving skills

  • Proactive in identifying problems and resolving same

  • Timely communication about completed tasks and available capacity

  • Proactively offering assistance to team members when tasks are completed

  • Proactively requesting training when skills not up to standard
